Surveys & Polls  – How to collect feedback?

With a survey, you can easily ask your employees for input and feedback.

Some common examples of useful surveys:

  • What are your opinions on our last news publication?
  • Share your concerns about going back to work after COVID-19
  • Monthly feedback round
  • Was this new publication relevant for you?

You have the option to directly link a survey to your news publication.

Would you like to ask a question directly in the feed? Use a poll instead of a survey. Employees can vote directly in the feed and can see instantly the results after they vote.

Now that we got you convinced of the use of a survey, let’s start, shall we?!

Create your own vs. an external survey

When you build your own, you’ll build a survey inside Spencer with the survey builder.

The external survey allows you to create a survey in a  different tool like SurveyMonkey, and display it in Spencer by using the public link of the selected tool.

It is important to highlight that with external surveys we can’t display any reporting as this is being registered inside the external tool.

Use our Spencer created surveys if you are looking for a quick and easy survey that doesn’t require dependent questions. If you are looking for a survey with linkable questions (if yes on question 1, show X on question 2 for example), we recommend using an external survey like Typeform, MS forms, Surveymonkey.

Duplicating surveys

You can easily re-use a survey and make small changes to it.

There are several use cases why you would like to duplicate a survey, for instance when conducting a weekly recurring feedback survey. Luckily, duplicating a survey is done in seconds!

How to duplicate a survey?

#1 Browse to the survey detail of the survey you want to duplicate. Click on the duplicate button at the top-right of your survey detail.

#2 Spencer will duplicate your survey, and you’ll be guided to your new survey (see below). You’ll notice that your survey gets the draft state, if you would leave, you’ll still find your duplicate as a draft in the survey overview.

Key takeaways

The structure and questions from your survey are duplicated. The ‘Settings’ are not duplicated and are reset as blank (for example target audience).

Organising questions

In the survey builder, it is possible to swap elements from one page to the other by clicking on the 3 lines (burger) icon and drag it as demonstrated below

Different types of questions

There are several supported types in the Spencer survey builder

  1. Text
  2. Number
  3. True / False
  4. Single selection
  5. Multi Selection
  6. Date
  7. Image/file

Using text questions in survey

Ask a question where an end-user can provide textual input.
In the options section, you can choose between the following options.

  • Is text area : if you expect your end-user to give an answer that is longer than 1 line, you can make the input area bigger by checking this box.
  • Set the maximum allowed characters for the response

Use this field to collect quick information like first name, last name, general remarks,…

Collecting numeric response

Selecting this option will allow you to request numeric input.
By completing the minimum amount, the maximum amount, and multiple in the options section, you transform the input into a scale.

Example of a simple numeric question
How many apps do you have installed on your device?

Example of a scale numeric question.

Single selection questions

The single selection question gives the end-user the possibility to answer 1 item from a predefined list.
You can add an option by pressing enter or by clicking on the +.

When you have more than 5 items, this will be shown as a dropdown.

Multi selection questions

The multi-selection question gives the end-user the possibility to answer multiple items from a predefined list. You can add items similar to the single selection type.

Yes/No questions

Ask a question where the answer is yes or no. You don’t need to translate yes/no, the end-user will automatically see this translated in the language they use the app in.

Date questions

Ask a question to which the answer is a date. You can select a minimum date and a maximum date as option. End-users will be able to select a date in this period.

This is how your employees will see this question.

Request images to be shared

This type allows a user to upload a picture.  The end-user will have the option to select a picture from the camera roll or his computer or create a new one with the camera.

*Currently, it is not possible to ask a question based on images defined by yourself.

For example, which logo do you like the most?

How to get responses

You can distribute a survey in two different ways:

  1. Directly show your survey into the feed
  2. Attach your survey to a news article

Showing directly in the feed is interesting for easy and quick questions that don’t require any additional explanation. If you want to provide a bit more context and information on why you are collecting this information, you better attach your survey to a news article.

1. Push your survey directly in the feed

For basic surveys/questions you can push the survey directly into the feed!

This provides extra visibility for the survey.

Select the checkbox on « Visibility » : Show card in Dashboard feed
and select a target audience who should see the survey in their feed.

You can also attach a Push notification to your survey to get even more attention.

2. Linking your survey to a news article

You can link a survey to a news publication in the details section of a news publication. Below the header image, you’ll notice a section called Survey. You can select from the dropdown or search for a specific survey. Once selected, your survey is linked.

After selecting the survey there, you’ll only have to update your news publication or publish it before it becomes visible for your end-user. They’ll be able to see the survey at the bottom of the article (as demonstrated on the right).

Time sensitive surveys

You can expire your survey by setting the following information.

After this moment employees will no longer be able to participate!

Additional settings

When a user is allowed to change their mind and answers after they already participated, you can select the first option.

If you don’t want to collect any personal information and keep the survey anonymous, select the second option

Give feedback on an article

Below each article, you find a button to send feedback. When you click it, a form will appear where you can type in your remarks or questions. This message goes via email to the content creator with the sender’s name.
