What must an internal communications platform actually be able to do?

Having a hub for internal communication is one thing.

Ensuring every employee knows what actually matters is another.

In many organisations today, internal communication runs through scattered channels: email, Teams, WhatsApp, intranet, digital screens, posters, and local notices.

Each channel has its purpose. But together, they create a new challenge: where should employees look to find out what is important to them?

And for communication teams, the challenge is even greater: how do you ensure the right message isn't just published, but actually reaches the right people?

One central hub is just the start

One central place for internal communication is essential. Employees need to know where to find relevant information, without having to search through multiple channels themselves.

But centralising alone is not enough.

Not every employee needs the same information at the same time. What is crucial for someone at HQ might be completely irrelevant to a colleague in a store, a production environment, or on the road.

The challenge isn't just bringing communication together, but using one central hub to deliver the right information to the right employee, at the right moment.

Great internal communication starts with the employee

An employee with a laptop and a corporate email address works differently to someone on the shop floor or in production.

Not everyone opens Teams every day. Not everyone sits behind a screen. And during working hours, employees rarely have time to search different channels for potentially relevant information.

That is why an internal communication platform must do more than just collect information.

It needs to make three things clear to every employee:

What do I need to know? What is relevant to me? And what action do I need to take now?

From publishing to reaching

There is a major difference between the two.

Publishing a post does not mean you have reached your employees.

Effective internal communication requires more than just a place to store content. Think about:

  • One recognisable central hub for communication

  • Targeted information for specific locations, roles, teams, or target groups

  • Mobile access for non-desk employees

  • Room for local communication within a central structure

  • A clear schedule of what gets communicated when

  • Insights into reach and engagement, allowing communication teams to adapt

This is how internal communication shifts from “we published it” to “we know the right people have seen it.”

Central where possible, local where needed

Managing internal communication entirely from the top sounds efficient, but rarely works in practice.

A local manager often knows best what is happening today in a specific store, branch, or team. At the same time, you want to prevent every location from starting its own WhatsApp groups, newsletters, or other informal channels.

That is why central control and local autonomy must coexist.

The central communication team guards the structure, key messages, and scheduling. Local teams get the space to make communication relevant to their own employees.

One central environment, without having to create all communication centrally.

The goal is not to add another channel

Because that is where things often go wrong.

Organisations try to solve fragmented communication by adding a new tool, and end up with yet another place for employees to check.

A good internal communication platform should do the exact opposite: remove complexity for the employee.

That is exactly what Spencer does.

Spencer brings central and local communication together in one recognisable environment, helping organisations make information relevant for different employees, teams, and locations.

Not everyone needs to see everything.

Everyone needs to know what is important to them.

Because ultimately, the best internal communication platform is not the one with the most information.

It is the place where every employee knows: this is what I need to know and do today.
